Kirjaston asiakaspalautteet: näin vastaamme kehityskohtiin | Library customer feedback: our response

(Please, scroll down to read in English.)

Muutamat palautteista koskivat tietotekniikkaa. Joensuun kampuskirjastossa tietokonealue on usein täysi, eikä koneita riitä kaikille. Lisäksi wifin kerrottiin toimivan huonosti. Digipalvelut ovatkin sittemmin kartoittaneet wifin tilannetta. Valitettavasti he eivät löytäneet wifin parantamiseksi pikaratkaisua, mutta ottivat asian työlistalleen.

Saammeko sellaisia juuri sinulta?

The Library organized a feedback campaign in the autumn of 2022. After the COVID-19 years, we felt it was important to hear the wishes and needs of our users, as we were pleased to see how many of you had returned to campuses. Our feedback form on our website is available continuously, but we wanted to remind you of this possibility at the time. It was worth it: during 10.10.–4.11.2022 we received a total of 34 feedback, i.e., plenty more than normal.

We received feedback especially on noise and general consideration of others, facility management and maintenance, ergonomics and our customer service. The feedback was directed to the library as a whole and to both campuses separately – most of it was about the Joensuu Campus Library.

The need for peace of work in Joensuu was clearly the most frequently occurring response: there is too much noise in the library, and it makes studying difficult. Many of you asked others to observe not only the use of voice but also the cleanness and working on computer areas. It is great that the computers are being used but instead of them people occasionally use their own devices on the workstations. That unfortunately prevents others from accessing the computers. The feedback also showed that the workstations are not always left in clean condition for the next user.

To promote peace of work, the Joensuu Campus Library started working on Sound zones and better signs last autumn. We have now introduced the zones and renewed the signs, so please give us feedback on them. The sound zone map and other renewed signs are available on every floor of the Joensuu Campus Library, and more information is available on our website. When it comes to the Kuopio Campus Library, the peace of work has remained relatively good, so we consider the current signs to be sufficient for the time being. Each of us plays an important role in keeping the library a cozy place, and this becomes more obvious during the 24/7 self-service time.

We also received plenty of feedback on the premises and furniture of the Joensuu Campus Library. We were asked to have more seats and study space, as well as group work facilities. The ergonomics of furniture and the lighting of the premises also left much to be desired. The constant renovation of the library was understandably criticized, but on the other hand, the feedback also brought up the need for a more modernization of the library. The need for renovations is not in our hands but the least we can do is to keep you informed about them to the best of our ability.

Some of the feedback we received concerned the building technology of the Carelia building. For example, indoor air got us both negative and positive feedback. Better ventilation and lower temperature were hoped for the computer area. We also got feedback on the cleanliness and cleaning of the premises, from which we have been in contact with the Facilities Management. The lovely Olola in Joensuu got its fair share of praises, while the new premises in Kuopio were considered to be functional and comfortable.

The feedback highlighted the need for a snack machine, a coffee maker, a water bottle filling point or even a kitchenette. The possibility of a snack machine has been explored, but no workable solution has yet been found.

Some of the feedback was about the information technology. The computer area in the Joensuu Campus Library is often occupied, and there is not enough room for everyone. Also, the Wi-Fi was told to be operating badly. The Digital Services have since looked into the situation. Unfortunately, they did not find a quick solution to improve the Wi-Fi, but they will investigate it further.

You thanked us, the library staff, for our helpfulness and excellent service. The following feedback felt heartwarming: “Customer service in many areas of learning is good and flexible. I have always had help. Very friendly customer service that is relevant to a person who has just started learning many things.”

We started processing feedback in the library’s own development day right at the end of November. The feedback has been discussed in the library’s bilateral meetings with ISYY and the Facilities Management, and we have also forwarded feedback about Oppari’s area of responsibility. It has been said on several occasions that the feedback received is golden! We want to thank all of you who have given it!

We look forward to getting inspiring ideas, outspoken observations and inventive insights for the development of the University of Eastern Finland Library. Are we lucky to get them from you?

UEF-Primon kehittäminen yhteistyössä asiakkaiden kanssa | Developing UEF Primo in cooperation with customers

(Please, scroll down to read in English.)

UEF-Primon kehittäminen on siis edelleen jatkuva, aktiivinen prosessi.

Vastauksia kysymyksiin kootaan UEF-Primon Usein Kysytyt Kysymykset -blogisivulle.

The library’s search service, UEF Primo, was introduced in December 2019. During the first full year of use in 2020, around two million searches were made through UEF Primo, so we have gathered plenty of experience of the service. Since the beginning of introducing UEF Primo, feedback on the service has been collected both from the library customers and the personnel. Over the first year, we recorded about a thousand pieces of feedback related to UEF Primo. The feedback is processed in regular meetings of the Primo team, which comprises representatives from all library services. The work group aims to find a solution for any emerging issues and complaints and to answer all feedback givers personally, provided that they have left their contact information.

Based on feedback and questions, we update a UEF Primo – Frequently asked questions blog article, which allows our customers to find answers to the most common questions as quickly and easily as possible. This article features questions and answers related to issues such as technical problems, signing in and the availability and borrowing of materials.

Based on the feedback received, UEF Primo will be further developed as considered necessary and possible. Some improvement suggestions will be added to the list of requests. The system supplier ExLibris is also constantly developing Primo VE and its background library system, Alma. A new updated version is released for both systems every month, which sometimes causes surprises in the UEF Primo customizations. Sometimes, the update may add new functionalities to the search service which do not work as expected, despite advance testing. In such cases, the functionality is either removed from use or its introduction is postponed until it works as desired. Most of the time, however, the updates deliver improvements requested by the global Alma/Primo library community, while also improving the usability and customer-orientation of UEF Primo.

On a national level, Alma libraries have worked together since the beginning of the acquisition project, and this cooperation is still going strong. The national Primo group, in particular, strives to share its information, know-how and user experiences of the search service. The development of UEF Primo is still a continuous, active process. As our customer, you can also participate in developing UEF Primo by sending us feedback using the feedback form, for example.

Treatment of feedback from UEF Primo as a graph. When the library receives customer feedback from UEF Primo, the customer is answered immediately if possible. If the question is new, the feedback is taken to the PRIMO Working Group. When possible, UEF Primo is modified on the basis of feedback, and customer feedback is answered. Answers to questions are compiled on UEF-Primo's Frequently Asked Questions blog page.

Muuten kirjaston palvelut toimivat hyvin.

The library or at least parts of it should be open to students for 24/7 regardless of having a badge. Especially during Finnish winter the current situation is a huge safety risk. If a student were to accidentally leave keys and/or cell phone inside they may not be able to get into their building at home (as the key pads are deactivated at night), which for some students is an hour walk away already. Relying on deposits for badges and fines for opening the doors is asinine at best. It puts undue strain on us as students when all we want is a study place that is warm and maybe has access to a printer.

Lukusali taas on täysin hiljainen tila. Auttaisikohan siirtyminen sinne asiaa?

UEF-Primo

Primo on aivan hirvittävän huono käytettävä.

Rajoitettu kirjojen noutopalvelu on alkanut 14.5.

It would be nice to have more library materials available in electronic format.
Unfortunately, not all the materials currently needed in teaching and research are available electronically. Our procurement principle is to purchase all materials in electronic format whenever possible. We are also always cooperating with university subjects to make even more of the materials needed in studies available in electronic format.

It is good that you have a lot of online books and that Liukula’s articles are also available electronically!
Thank you for your feedback. The electronic availability of articles, including older ones, is continuously improving. I will also take this opportunity to advertise that UEF is participating in the national Tutkain project that is increasing the electronic availability of Finnish articles tremendously.

It is cold in halls A and B on the library’s second and third floors. The lighting in the library should also be improved. In general, I think that the comfort of the library should be improved, at least primarily with regard to lighting and temperature. Apart from that, the library’s services function well.
We will pass this feedback on. This problem is not easy to resolve, as the building is starting to get ‘old’ and would perhaps require solutions at the level of a renovation. However, we will try to promote this to the extent possible.

When this current practice was designed, the intention was to take the safety of the users comprehensively into account. This also involves the right of access being limited to those who have paid the deposit fee for an access badge and, through this, individuals who have accepted the terms of use and familiarised themselves with the safety instructions. It is part of the user’s responsibility not to forget their access badge and key in the library.

Thank you, lovely library staff! I always feel welcome at the library. Even if I enter warily with a stack of overdue books in my backpack, you always give a warm welcome and assistance, regardless of the issue.
Thank you, we will pass the feedback on to the staff. And there is no need to be wary, since this is a daily occurrence that we who work at the library are familiar with. So you are not ‘unique’ in this respect.

It would be really nice if the university buildings had small soundproof ‘phone booths’. (I’ve seen some on the Tikkarinne Campus of Karelia University of Applied Sciences.) Right now, there really are no places where you can go to make important calls in peace. I would like the library’s reading area and the halls upstairs to be warmer. I avoid studying in those places because it is too cold there without mittens and a coat.
We will pass on the wish for a phone booth and the feedback about the facility temperature issues.

I am not always able to focus on my studies because people might be talking and giggling amongst themselves at the library.

The first floor of the Joensuu Campus Library is divided into noise zones, some of which allow talking and even giggling, though the other users naturally have to be taken into consideration. The reading area, on the other hand, is a completely silent space. Perhaps moving there would help matters?

UEF Primo

Primo is absolutely awful to use. It is unclear and no matter what device you use it on, the website updates itself automatically or goes back to the start of the search results by itself, which makes it difficult to search for or examine works. The poor usability does not inspire you to search for works at all.
We are sorry to hear that. Your comment did not provide me with enough information to determine whether this is a defect or a feature. The website does not ‘update’ automatically, nor does it move to the start of the search results by itself. Such features are not built into Primo. For search instructions, see Quick guide and Search in UEF Primo.

Primo is pretty challenging to use and awkward to browse, particularly on mobile devices. I would also like to see more materials in electronic format. However, the library’s employees are lovely and helpful!
The mobile service is not completely ideal yet, but the scalability and operation of the user interface is being developed to be more user-oriented.

COVID-19 spring

More of the library materials should be made available in electronic format. Many were unable to get course books when the libraries closed, and there is a limited number of books because many people took ‘a million’ books home with them, not leaving much of anything for the rest. The studies of many people are being delayed because not all materials are available.
Due to COVID-19, the university and library had to close down the facilities on a tight schedule, which has definitely affected the progress of many people’s studies. We have been actively expanding our electronic collections this spring. Unfortunately, fully printed collections cannot be replaced with electronic versions, which is already explained at the beginning of this article. The book pick-up service launched on 14 May will alleviate the issue in the availability of printed materials.

It would be really great if it were possible to also borrow the library’s paper books during this distance learning situation. For example against a small fee via Posti or a pick-up point. It would make it easier to complete my thesis!
A limited book pick-up service started on 14 May. No fee is charged for it. We hope that this service will assist in this exceptional situation. The service is also a new learning situation for us at the library, and we come across new things in need of solving every day.

Huh, I am glad we did not have to return borrowed books because of the university closing. Thanks for that too.
It was the least we could do in this situation that came upon us so quickly.

Good luck with these difficult times.
Thank you and likewise, our dear customer. Let us all stay healthy.
