Tyypillinen maanantaiaamu ennen marraskuuta 2022: työnsä aloittava kirjastolainen katsahtaa, millaisia yhteydenottoja asiakkailta on kertynyt viikonlopun aikana. Yksi kysymys toistuu ylitse muiden: miksi en pääse kirjautumaan UEF-Primoon? Kirjastolaisemme linkittää vastauksessaan asiakkaalle jälleen sen kohdan verkkosivuilta, jossa opastetaan kirjaston asiakkaaksi rekisteröityminen. Hän kiinnittää huomiota siihen, että vastaus lukuisiin asiakkaiden kysymyksiin löytyy näppärästi kirjaston sivuilta, jos vain tietää, mistä etsiä. Koska verkkosivuilla asiaa riittää kahmalokaupalla, on hyvin ymmärrettävää, ettei tarvittu tieto aina löydy. Kirjastolainen huomaa myös, että tiedontarve ei katso kelloa – yhteydenottoja on saapunut hyvin myöhäisinäkin kellonaikoina.
 
Useampi kirjastolainen alkaa keskustella ääneen: kuinka voisimme vastata asiakkaiden tarpeisiin tehokkaammin ja toisaalta palvella niinä aikoina, kun palvelua tarvitaan? Voisiko chatbot toimia tällaisessa tilanteessa? Samoihin aikoihin he kuulevat myönteisiä kokemuksia boteista kirjastomaailmassa, jolloin into botteihin yltyy entisestään. Kaikki lähtee toden teolla liikkeelle kirjastolaisten saadessa selville, että yliopiston Digipalvelut on tehnyt sopimuksen erään palveluntarjoajan kanssa, joten tekniikka on jo käden ulottuvilla. Ei muuta kuin hommiin! 
 
Tyypillinen maanantaiaamu nykyään: kymmenkunta asiakasta on jo viikonlopun aikana saanut vastauksen kirjaston Uffe-nimiseltä chatbotilta. Tarinan kirjastolainen huomaa, että vastausta odottelevia yhteydenottoja on entistä vähemmän, ja hän pääsee keskittymään niihin kysymyksiin, jotka kaipaavat mutkikkuutensa vuoksi ihmisen huomiota. Chatbotin käyttöönotto on suoraviivaistanut arkea muiltakin osin, joten aikaa riittää entistä paremmin syvempää asiantuntemusta vaativaan kirjastotyöhön. Asiakkaatkin tuntuvat tykkäävän Uffesta. Ensimmäisen työvuoden aikana keskusteluita botin kanssa on kertynyt 6 200 kpl. Palaute on ollut vähäistä, mutta duurivoittoista. 
 
Tähän tilanteeseen pääseminen vaati hommien paiskomista. Uffen loi kirjaston kymmenhenkinen työryhmä yhteistyössä yliopiston muiden toimijoiden kanssa. Kirjaston aiempi chat-palvelu ja pitkä historia erilaisista yhteydenotoista antoivat arvokasta dataa, jota kahlaamalla ryhmälle kirkastui, millaisia ongelmia chatbotin pitäisi pystyä ratkaisemaan. Ryhmä huomasi, että ratkaisut asiakkaiden yleisiin kysymyksiin ovat jo olemassa kirjaston verkkosivuilla, joten Uffe palvelee parhaiten opastamalla oikean tiedon äärelle. Työryhmä kehittää Uffea aina tarpeen mukaan. Viimeisin merkittävä lisäys on ollut tiedonhaun osuus, joka on erinomainen apuri silloin, kun raivaat tietäsi tieteellisen tiedon lähteille. Hädän hetkellä aloita siis etsintä Uffesta!

A typical Monday morning before November 2022: a librarian starting a workday glances at emails that customers have sent over the weekend. One question repeats itself above the others: why can’t I log in to UEF Primo? In response to a customer, our librarian once again guides the customer to the exact place on the website where the customer registration is explained. The librarian pays attention to the fact that the answers to numerous questions from the customers can be found conveniently on the library’s website, if you only know where to look. It’s really understandable that finding the right piece of knowledge can be difficult, as there are heaps of information on the website. It’s also noticeable that some emails have been sent at very late hours. 

A group of librarians starts talking out loud: how can we respond to customers’ needs more effectively and, on the other hand, help when we are needed? Could a chatbot work in such a situation? Around the same time, they hear positive experiences about bots in the library world, increasing their enthusiasm for bots. The ball starts rolling when the librarians find out that the university’s Digital Services has signed a contract with a service provider, so the technology is already available. Let’s get to work, then! 
 
A typical Monday morning today: a dozen customers have already received a response over the weekend from the library’s chatbot Uffe. The librarian of the story finds that there are fewer and fewer emails waiting for an answer, and there is time to focus on the questions that need human attention because of their complexity. In addition, the chatbot has made everyday life smoother so there is more time for other work that requires deeper expertise. Customers also seem to like Uffe. During the first year, there were 6,200 conversations with the bot. The feedback has been minimal but positive.
 
Getting to this point has taken a lot of effort. Uffe was created by a ten-person working group of the library in cooperation with other parties at the university. The library’s previous chat service and long history of various enquiries provided valuable data which showed the group what kind of problems the chatbot should be able to solve. The working group found that solutions to common questions from customers already exist on the library’s website, so Uffe serves best by guiding the customer to the right place. The group develops Uffe when it’s needed. The latest significant addition has been the information retrieval section, which is an excellent help when you are making your way to the sources of scientific information. So, in the moment of need, consult Uffe first!

Saying Goodbye to the UEF Library Internship

As I find myself at the doorstep of my final week in the “pool of knowledge” that is the UEF Library, it’s hard to believe how quickly the last two months have passed. It feels like just yesterday that I started my journey as a trainee, and what a journey it has been. This experience has been nothing short of amazing, and I can’t help but reflect on the incredible wealth of knowledge and the valuable insights I’ve gained while here.

When I first stepped into this library during my internship, I was an eager second-year Master in IT student. If I could turn back time, I wish I knew about all the services and opportunities this library offers from the moment I set foot on campus as a first-year student. As I prepare to dive into my thesis work, I now understand just how crucial the library is in accessing research materials, publications, and electronic books through resources like UEF Primo. It’s more than just a storage of books; it’s a valuable collection of resources that can guide the direction of one’s academic journey. I credit my recently acquired insight to the incredible staff members who make it all happen. The dedication, passion, and hard work they put into their roles in different departments are truly admirable. Without them, the library wouldn’t be the dynamic centre of learning that it is.

During my time here, I had the opportunity to explore various aspects of library operations. I gained valuable insights into Training and Information Services, where I witnessed how knowledge is distributed and shared effectively. The Collection Services team taught me how they take care of all the books and materials in the library. I also saw how the library’s extensive communication channels, are vital for connecting with the academic community. IT and Publishing Services provided me with a newfound understanding of the technological backbone that supports the library’s digital resources.

However, my journey didn’t stop there. I had the privilege of attending important meetings, where I met inspiring individuals like Rafaella Lenoir Improta, a Ph.D. holder, during the YERUN research mobility visit at UEF. I also had the chance to interact with Marko Aupic from the University of Ljubljana, who shared insights about the Erasmus Exchange Programme. One of the memorable highlights of this internship was the opportunity to travel to Kuopio with Marko. It was an experience that not only expanded my network but also allowed me to appreciate the diversity of academic opportunities available within the UEF community.

My journey as an intern in this library has been nothing short of awesome. I’ve grown both personally and academically, and I’m very grateful for the experiences and knowledge I’ve gained. As I bid farewell to this incredible place, I want to express my heartfelt thanks to all the library staff members. Your interest, dedication, and warm acceptance have made this experience truly special. You are the heart and soul of this place, and I’m grateful for the support and guidance you’ve provided.

My time at the UEF Library has been a journey in the world of knowledge, and it’s a journey that I’ll carry with me throughout my academic pursuits. It’s a farewell, but it’s also the beginning of new chapters in my academic and professional life. Thank you, UEF Library, for being an essential part of my journey.

Itä-Suomen yliopistolle on avattu mahdollisuus Haka-kirjautumiseen korkeakoulun käyttäjätunnuksella Terveysportissa ja Oppiportissa. Muutos yksinkertaistaa palveluun kirjautumista. Jos sinulla on jo ennestään Duodecim-tili, tulee sinun yhdistää nykyiset käyttäjätietosi Haka-kirjautumiseen.

Haka-kirjautuminen ei koske Aikakauskirja Duodecimia, jonka kirjautumistapa säilyy ennallaan.
