It\u00e4-Suomen yliopistossa otettiin 23.12.2019 k\u00e4ytt\u00f6\u00f6n uusi Alma-kirjastoj\u00e4rjestelm\u00e4 ja sen asiakask\u00e4ytt\u00f6liittym\u00e4 Primo VE.<\/p>\n\n\n\n

Jo muutaman vuoden on ollut tiedossa, ett\u00e4 vanhaa 20 vuotta k\u00e4yt\u00f6ss\u00e4 ollutta Voyager-kirjastoj\u00e4rjestelm\u00e4\u00e4 ei en\u00e4\u00e4 kehitet\u00e4. Suomen korkeakoulukirjastot ovat olleet tietoisia tilanteesta, mutta jo vuonna 2014 p\u00e4\u00e4tettiin lopettaa kansallinen UJK-hanke uuden kirjastoj\u00e4rjestelm\u00e4n hankkimiseksi. My\u00f6s pitk\u00e4 yhteisty\u00f6 kirjastojen v\u00e4lill\u00e4 Linnea2-konsortion muodossa p\u00e4\u00e4ttyi.<\/p>\n\n\n\n

Kansalliskirjaston vet\u00e4m\u00e4 ty\u00f6ryhm\u00e4 kartoitti markkinoilla olevat kirjastoj\u00e4rjestelm\u00e4t vuonna 2017. K\u00e4vi selv\u00e4ksi, ett\u00e4 korkeakoulukirjastoilla oli kesken\u00e4\u00e4n hyvin erilaisia j\u00e4rjestelm\u00e4\u00e4n kohdistuvia odotuksia ja tarpeita. Osa kirjastoista halusi hankkia valmiin SaaS (Sofware as a Service) -j\u00e4rjestelm\u00e4n, jossa lis\u00e4\u00e4ntyvien e-aineistojen hallinnointi helpottuisi. Kirjaston hankkima kaikentyyppinen aineisto p\u00e4\u00e4st\u00e4\u00e4n hallinnoimaan samalla j\u00e4rjestelm\u00e4ll\u00e4. Toiset taas halusivat omiin tarpeisiinsa rakennettavan avoimen l\u00e4hdekoodin j\u00e4rjestelm\u00e4n. Syntyi kaksi ryhmittym\u00e4\u00e4: kaupallisen SaaS-mallin kilpailuttava ryhm\u00e4 sek\u00e4 avoimen l\u00e4hdekoodin KOHA-j\u00e4rjestelm\u00e4n k\u00e4ytt\u00f6\u00f6n ottava ryhm\u00e4. Jo t\u00e4ss\u00e4 vaiheessa oli tiedossa, ett\u00e4 kahteen eri j\u00e4rjestelm\u00e4\u00e4n jakautuminen aiheuttaisi tiettyjen tutuksi tulleiden asiakaspalveluiden lakkauttamisen.<\/p>\n\n\n\n

It\u00e4-Suomen yliopisto on ollut mukana Lumikko-hankintakonsortiossa, jossa valtuutettiin Turun yliopisto kilpailuttamaan kirjastoj\u00e4rjestelm\u00e4n hankinta sopijapuolten puolesta. Kilpailutus toteutettiin syksyll\u00e4 2018 kaikkiaan 27 korkeakoulun ja muun organisaation puolesta. M\u00e4\u00e4r\u00e4aikaan menness\u00e4 tarjouskilpailuun j\u00e4tettiin kaksi tarjousta, joista vain Ex Libris -yhti\u00f6n Alma t\u00e4ytti kirjastoj\u00e4rjestelm\u00e4lle m\u00e4\u00e4ritellyt ehdottomat vaatimukset.<\/p>\n\n\n\n

Lis\u00e4ksi It\u00e4-Suomen yliopiston kirjastossa valittiin k\u00e4ytt\u00f6liittym\u00e4ksi samalta toimittajalta Primo VE, koska haluttiin saada k\u00e4ytt\u00f6\u00f6n SaaS-mallin mukaiset integroidut palvelut. Samalla p\u00e4\u00e4stiin eroon ratkaisusta, jossa kirjastoj\u00e4rjestelm\u00e4ll\u00e4 ja sen asiakask\u00e4ytt\u00f6liittym\u00e4ll\u00e4 olisivat olleet eri toimittajat, Ex Libris ja Kansalliskirjasto\/CSC. My\u00f6s kaikki kirjaston aineistot haluttiin n\u00e4kyv\u00e4n samassa hakutuloksessa.<\/p>\n\n\n\n

Lumikko-projektin k\u00e4ytt\u00f6\u00f6notto on jaettu kahteen osaan, jossa It\u00e4-Suomen yliopisto on mukana ensimm\u00e4isess\u00e4 k\u00e4ytt\u00f6\u00f6nottoaallossa yhdess\u00e4 Turun ja Tampereen yliopistojen ja \u00c5bo Akademin sek\u00e4 Karelian, Satakunnan, Sein\u00e4joen ja Turun ammattikorkeakoulujen kanssa. Kirjastot eiv\u00e4t voineet valita k\u00e4ytt\u00f6\u00f6noton aikataulua, vaan se tuli j\u00e4rjestelm\u00e4toimittajalta annettuna.<\/p>\n\n\n\n

Toisessa aallossa ovat mukana Helsingin, Lapin ja Oulun yliopistot, Taideyliopisto, LUT-yliopisto, Savonian, Jyv\u00e4skyl\u00e4n, Kajaanin ja Oulun ammattikorkeakoulut sek\u00e4 Eduskunnan kirjasto. Toinen aalto ottaa Alman k\u00e4ytt\u00f6\u00f6n kes\u00e4ll\u00e4 2020.<\/p>\n\n\n\n

Kaiken kaikkiaan Alma on kansainv\u00e4lisesti k\u00e4yt\u00f6ss\u00e4 yli tuhannessa eri kirjastossa. Kirjasto ja asiakkaat saavat k\u00e4ytt\u00f6\u00f6ns\u00e4 nykyaikaisen ty\u00f6kalun, joka mahdollistaa rajapintojensa kautta palveluiden kehitt\u00e4misen jatkossakin. J\u00e4rjestelm\u00e4nvaihto oli ty\u00f6l\u00e4s ja vaativa projekti. Aikaa taustaty\u00f6h\u00f6n ja kouluttautumiseen k\u00e4ytt\u00f6\u00f6noton aikana varsinaisen ty\u00f6n ohessa oli vain puoli vuotta. Kaikkea ei saatu valmiiksi tuotantoon siirtymiseen menness\u00e4 23.12.2020, vaan rakentaminen, toimintojen s\u00e4\u00e4t\u00e4minen ja ohjeiden laatiminen jatkuu toistaiseksi. Lis\u00e4ksi Almaa p\u00e4ivitet\u00e4\u00e4n s\u00e4\u00e4nn\u00f6llisesti kuukausittain, yhteisty\u00f6ss\u00e4 kaikkien Alma-kirjastojen kanssa maailmanlaajuisesti.<\/p>\n\n\n\n

The University of Eastern Finland introduced its new Alma library system and the related customer interface Primo VE on 23 December 2019.<\/bdo><\/p>\n\n\n\n

For a few years already, we were aware of the fact that the old Voyager library system that we had used for the past 20 years was no longer being developed. The university libraries in Finland were aware of the situation, but the national UJK project to procure a new library system was terminated already in 2014. The long-term collaboration between libraries under the Linnea2 consortium has also ended.<\/bdo><\/p>\n\n\n\n

A working group coordinated by the National Library of Finland mapped the library systems available in the market in 2017. It became obvious that different university libraries had very different needs and expectations regarding the system. Some of the libraries wanted to purchase a complete SaaS (Software as a Service) system that makes it easier to manage the increasing amounts of electronic materials. It would make it possible to manage all kinds of materials in the library in a single system. Others wanted a system based on open source code that they could build according to their own needs. As a result, two groups were formed: one that invited tenders for commercial SaaS systems and another that would implement an open-source KOHA system. It was already clear at this point that the implementation of two separate systems would lead to the termination of some of the services that customers were accustomed with.<\/bdo><\/p>\n\n\n\n

The University of Eastern Finland participated in the Lumikko procurement consortium that authorised the University of Turku to invite library system providers to tender on behalf of the parties. The invitation to tender was sent in autumn 2018 on behalf of a total of 27 universities and other organisations. Two tenders were submitted by the deadline, and only the Alma system offered by Ex Libris fulfilled the non-negotiable requirements set for the library system.<\/bdo><\/p>\n\n\n\n

Additionally, the University of Eastern Finland wanted to benefit from services integrated according to the SaaS model, and selected the Primo VE user interface provided by the same company. Thanks to this decision, we did not need a library system from one provider, Ex Libris, and its customer interface from another, the National Library of Finland\/CSC. We also wanted to have all the materials in the library available in the same search results.<\/bdo><\/p>\n\n\n\n

The Lumikko project is rolled out in two phases. The University of Eastern Finland is in the first phase, together with the Universities of Turku and Tampere, \u00c5bo Akademi University, and the Karelia, Satakunta, Sein\u00e4joki and Turku Universities of Applied Sciences. The libraries did not have a say in the roll-out schedule that was set by the system provider.<\/bdo><\/p>\n\n\n\n

In the second phase, the system is rolled out at the Universities of Helsinki, Lapland and Oulu, the University of the Arts Helsinki, LUT University, the Savonia, Jyv\u00e4skyl\u00e4, Kajaani and Oulu Universities of Applied Sciences, and the Library of Parliament. The second phase of the roll-out will take place in summer 2020.<\/bdo><\/p>\n\n\n\n

All in all, over a thousand libraries worldwide use the Alma system. It will provide the library and its customers with a modern tool with interfaces that make it possible to further develop the services. The change of system was a laborious and challenging task. We only had six months for the background work and training during implementation, in addition to our regular tasks. We were unable to complete the project by the roll-out on 23 December 2019. Therefore, the system is still being constructed, functionalities are being fine-tuned and instructions are being drafted. Additionally, Alma is updated regularly on a monthly basis in collaboration with all Alma libraries worldwide.<\/bdo><\/p>\n\n\n\n
