UEF-Primo – vastine palautteeseen | UEF Primo – response to feedback

(Please, scroll down to read in English.)

Saadun asiakaspalautteen perusteella olemme koonneet seuraavaan yleisimmin esille nousseita asioita.

Kirjautuminen

  • Koska kirjastojärjestelmä vaihtui, asiakkaiden kirjautumiseen tuli muutoksia.

Asia on ohjeistettu yliopiston sähköpostisäännöissä. Opiskelija voi ohjata sähköpostinsa yliopiston ulkopuoliseen osoitteeseen.”

Asiakaspalaute

Haluamme asiakkailta rakentavaa palautetta voidaksemme onnistua kehitystyössä. Toivomme nimellä annettua palautetta, jotta voimme selvittää ongelmatilanteet entistä paremmin ja kysyä tarvittaessa lisätietoja. Tulossa on asiakkaiden usein kysymiin kysymyksiin perustuva lista usein kysytyistä kysymyksistä.

The University of Eastern Finland introduced the new Alma library system and the related customer interface Primo VE in December 2019. They replaced the Voyager system that had been in use for 20 years and its user interface UEF Finna. For more information on the selection process and criteria, please refer to the blog post How was Alma/Primo VE selected for the University of Eastern Finland?

Understandably, the change of the library system caused our customers some trouble. Below, we will address some of the most frequently mentioned topics in the feedback we have received.

Logging in

  • The change of library system meant that there were also changes to how customers log in. The majority of the students and staff of the University are able to log in without any problems. External customers log in using their library card and the password that they have created. Instructions for logging in and information on remote use is available on the UEF Primo homepage.
  • The time-out on the user interface is set to six hours. After this time has elapsed, an idle session will expire and you will be logged out. Please note that the University information systems use a single sign-on access control, which means that if you log out of one system, you will be logged out of all other systems as well, including UEF Primo.

Customer interface and information retrieval

  • You can select your preferred language easily by clicking on the Valikko/Menu button on the upper right corner of the UEF Primo interface. You can select your default language at My account – Personal details – Default interface language. Your selected language is retained on your next login if you have used the interface in your preferred language before logging out.
  • At the moment, electronic theses are available at UEF ePublications and the national Finna system.
  • Links to materials in the old UEF Finna system that you may have copied and saved no longer work and they must be updated.
  • UEF Primo is still being developed, and its instructions and functionalities are being processed.
  • For instructions in using UEF Primo, please refer to the library home page.

Were there changes to loans?

  • There were no changes to the rules that apply to loans, and the loan periods remained unchanged. You can renew your loan until you have reached the maximum limit for a loan period (22 weeks or 44 weeks, depending on the type of material). If the book has been reserved, renewing your loan is not possible. Loans are renewed automatically for staff. Overnight loan policies remain unchanged.
  • Separate item requests are no longer needed, and all reservations apply to books that are at the library or on loan. It is not possible to select the item that you wish to reserve.
  • Customers are still notified of their due and overdue loans as well as the availability of their reserved items by email. The email address provided by the University is your primary email address for internal communications at the University, including the library.
  • When the contact information of staff and students are updated, the UEF email address will be set as their email addresses. For information on emails and forwarding your messages to your personal email address, please refer to Kamu. The University policy is described on the IT services website:
    • “Every student and staff of UEF gets an email address automatically, that is set as the primary email address. By the UEF email policy every student will have a UEF student email that is set as the primary email. Staff is not allowed to forward emails to external addresses, more information can be found in the University’s email policy. A student can forward their emails to an external address.”

Miten Alma / Primo VE tuli Itä-Suomen yliopistoon? | How was Alma/Primo VE selected for the University of Eastern Finland?

(Please, scroll down to read in English.)

Osa kirjastoista halusi hankkia valmiin SaaS (Sofware as a Service) -järjestelmän, jossa lisääntyvien e-aineistojen hallinnointi helpottuisi.

Kaiken kaikkiaan Alma on kansainvälisesti käytössä yli tuhannessa eri kirjastossa.

The University of Eastern Finland introduced its new Alma library system and the related customer interface Primo VE on 23 December 2019.

For a few years already, we were aware of the fact that the old Voyager library system that we had used for the past 20 years was no longer being developed. The university libraries in Finland were aware of the situation, but the national UJK project to procure a new library system was terminated already in 2014. The long-term collaboration between libraries under the Linnea2 consortium has also ended.

A working group coordinated by the National Library of Finland mapped the library systems available in the market in 2017. It became obvious that different university libraries had very different needs and expectations regarding the system. Some of the libraries wanted to purchase a complete SaaS (Software as a Service) system that makes it easier to manage the increasing amounts of electronic materials. It would make it possible to manage all kinds of materials in the library in a single system. Others wanted a system based on open source code that they could build according to their own needs. As a result, two groups were formed: one that invited tenders for commercial SaaS systems and another that would implement an open-source KOHA system. It was already clear at this point that the implementation of two separate systems would lead to the termination of some of the services that customers were accustomed with.

The University of Eastern Finland participated in the Lumikko procurement consortium that authorised the University of Turku to invite library system providers to tender on behalf of the parties. The invitation to tender was sent in autumn 2018 on behalf of a total of 27 universities and other organisations. Two tenders were submitted by the deadline, and only the Alma system offered by Ex Libris fulfilled the non-negotiable requirements set for the library system.

Additionally, the University of Eastern Finland wanted to benefit from services integrated according to the SaaS model, and selected the Primo VE user interface provided by the same company. Thanks to this decision, we did not need a library system from one provider, Ex Libris, and its customer interface from another, the National Library of Finland/CSC. We also wanted to have all the materials in the library available in the same search results.

The Lumikko project is rolled out in two phases. The University of Eastern Finland is in the first phase, together with the Universities of Turku and Tampere, Åbo Akademi University, and the Karelia, Satakunta, Seinäjoki and Turku Universities of Applied Sciences. The libraries did not have a say in the roll-out schedule that was set by the system provider.

In the second phase, the system is rolled out at the Universities of Helsinki, Lapland and Oulu, the University of the Arts Helsinki, LUT University, the Savonia, Jyväskylä, Kajaani and Oulu Universities of Applied Sciences, and the Library of Parliament. The second phase of the roll-out will take place in summer 2020.

All in all, over a thousand libraries worldwide use the Alma system. It will provide the library and its customers with a modern tool with interfaces that make it possible to further develop the services. The change of system was a laborious and challenging task. We only had six months for the background work and training during implementation, in addition to our regular tasks. We were unable to complete the project by the roll-out on 23 December 2019. Therefore, the system is still being constructed, functionalities are being fine-tuned and instructions are being drafted. Additionally, Alma is updated regularly on a monthly basis in collaboration with all Alma libraries worldwide.
